AI workflow implementation

Your best people already use AI. Make it how the firm works.

Take one agreed workflow, build it with the people who do the work, and leave it running with owners, checks and a way to measure it.

Construction-services firm · one workflow

A document arrives. Here is what happens.

Five example runs

Check

The totals are compared with the order. Matches go through. Anything else stops here.

Owner: operations lead

Logged: pass or fail, and why.

Select a step to see who owns it and what is logged.

Where it starts

One workflow, one owner, real tasks.

For firms ready to put an agreed AI use case into daily use. We can work from your existing plan or help define the first workflow.

One agreed workflow

From our strategy plan or your own. One process with a clear start and finish that people run every week.

A named process owner

Someone who runs the workflow today and will own the system and its review after we leave.

Approved access

Approved access to the relevant tools and data, and the people who will use the system.

Time to test

Time from the people who do the work to try the workflow on real tasks before it goes into use.

How it runs

Four steps, from agreement to daily use.

  1. Define the workflow

Agree the inputs, outputs, access permissions and checks required before the system can be used. Confirm which parts AI handles by default, which an expert verifies and which stay with a person.

  2. Build and test

Connect the agreed tools and test the workflow with your team, including errors and unusual cases. Sometimes we build it. Sometimes a build partner does. It depends on the work, and we tell you which before we start.

  3. Put it into use

Roll out the agreed workflow, document how to run it and hand it over to its owners. Train the people who run it and the people who check it.

  4. Keep it working

Track who uses it, how often outputs are redone and what happens when AI is wrong. Ongoing support is available by agreement.

The behaviour underneath

The tools are the easy part.

A workflow stays in use when the people around it know what is expected of them. We agree these four things with the team before anything goes live.

Who checks

Every output has a named checker with the expertise to sign it off, and the checks are written down.

The route to a person

Cases the system cannot handle go to a person the same way every time, with the history attached.

AI use is disclosed

People say when AI drafted the work. Nobody has to hide it, so mistakes are found early.

What leaders recognise

Leaders recognise the people who report what went wrong, not only the people who move fastest.

What you are left with

A system your team runs without us.

A working workflow

An implemented workflow within the agreed project scope.

Checks and an exception route

Checks for AI outputs and a route for cases that need a person.

Instructions and owners

Operating instructions and named owners for the system and its review.

Measures

A short set of measures the owner can read each month: use, redo rate and cases sent to a person.

Where we’ve run this

  • A construction-services firm

A follow-on build after their roadmap: one document workflow from capture through a check to the CRM, with an exception queue for cases that need a person. Tested to agreed acceptance criteria and handed over with a runbook and ongoing support.

  • An independent financial adviser

Weekly Claude sessions on live cases. One recommendation process went from three days to about half an hour.

  • Advisory

We have advised teams inside global banks and consultancies.

Let’s talk

Which workflow do you want in daily use?

Tell us the process, who owns it today and which tools your team is allowed to use. If you already have a plan, send that too.
